Room service menu and QR ordering for UK hotels, B&Bs and inns

Updated 19 October 2026

A room service menu tells guests what they can order to their room, when, and for how much. With Menuthere, each room gets its own QR code. Guests scan it, order from their phone and the order reaches your kitchen or bar tagged "Room 12", with a ringing alert. Your restaurant, bar and room service can run from one menu. Guests install nothing, Menuthere takes 0% commission, and you can start free.

It suits small and mid-sized UK hotels, B&Bs, guest houses, inns with rooms and serviced apartments. These are places where the night porter also runs the bar and the chef also cooks breakfast.

Why a QR room service menu beats the folder on the desk

The printed in-room dining folder has three problems. It goes out of date the day you change a dish. It can't tell a guest that the kitchen closed at 10pm. And every order still comes in by phone, which ties up the one person on reception.

How room service ordering works with Menuthere

  1. Build your menu once. Import it from a photo or PDF of your current menu, then check the items. Add sizes and add-ons, such as "toast: white or brown" or "extra bacon".
  2. Create a QR code for each room. Name each code the way your team talks: "Room 12", "Garden Suite", "Annexe 3".
  3. Print and place the codes. A small card by the kettle or on the desk works well. Keep the room name printed next to the code.
  4. The guest scans and orders. No app, no login. The order lands on your dashboard and the partner app, tagged with the room, and it rings until someone accepts it.
  5. Accept, cook and deliver. Accepting prints the kitchen ticket automatically. Read more about kitchen tickets.

One menu for restaurant, bar and rooms

You don't need three menus. Put your restaurant, bar and in-room dining dishes in categories on one menu. Then use the room QR codes for room service, table QR codes in the restaurant and view-only codes in public areas. See QR code ordering and table ordering for the restaurant side.

A room service charge without a second menu

Many hotels charge more for food taken to the room. Menuthere's room QR codes can add a fixed amount to each item's price for orders from rooms. The guest sees the room-service price on the menu before ordering, so there are no surprise charges on the bill. That matters in the UK: the CMA's price transparency guidance says the total price should normally include any unavoidable charges, and showing them separately will not normally be enough.

Breakfast, bar and late-night menus on a schedule

Schedule items by day and time. Show the full breakfast only until 10:30, the bar menu from noon, and a short night menu after the kitchen closes. Items switch themselves on and off, so a guest at midnight only sees what you can actually serve. This works on every plan, including Free.

View-only menus for the lobby, bar, spa or garden

Not every code needs to take orders. Put a view-only QR code in the lobby, on the terrace or in the spa so guests can browse the menu before they come to the bar or restaurant.

Translated menus for overseas guests

On Lite and above, guests can switch your menu into another language, including Spanish, Chinese, Japanese and Arabic. It's machine translation, so ask a fluent speaker to check key dishes. Allergen tags show the same 14 allergens whatever the language.

What goes on a room service menu (template)

Use this structure whether your menu is on paper or on a QR code. You can also start from our free menu templates.

  1. Header: hotel name, "Room service", and how to order ("Scan the code or dial 0 from your room").
  2. Hours: for example, "Breakfast in your room 7:00–10:30. All-day menu 12:00–21:30. Night menu 21:30–07:00."
  3. Delivery note: "Please allow 25–35 minutes." Be honest at busy times.
  4. Breakfast: continental tray, full English (or full Scottish, Welsh or Ulster), porridge, eggs your way, toast, pastries, fruit, juices, tea and coffee.
  5. All day: soup, club sandwich, burger, fish and chips, a salad, a vegetarian or vegan main, a kids' choice.
  6. Night menu: sandwiches, cheese plate, crisps and nuts, hot drinks, a sweet.
  7. Drinks: soft drinks, wine by the glass and bottle, beer, spirits with measures (25ml or 35ml), and hot drinks.
  8. Prices: all in £ and including VAT, with any room-service amount already built in.
  9. Allergen line: "Please tell us about any allergies before you order. Ask us for allergen information on every dish." On a QR menu, the allergens tagged on each dish show when the guest opens it.
  10. Tray collection: "Leave your tray outside your door or call reception and we'll collect it."

Example room-service pricing (illustrative): a club sandwich is £12.50 in the restaurant. With a £2.00 room amount added, it shows as £14.50 on the room QR menu. VAT is already inside both prices.

B&B breakfast order form

Many B&Bs ask guests to choose breakfast the night before. Put a "breakfast for tomorrow" category on the room menu. Guests choose their eggs and time slot, and the order arrives as a written ticket for the morning. Menuthere's pre-orders let guests pick a date and time slot. Pre-orders are on Lite and above.

Payments and the room bill: what Menuthere does and doesn't do

Be clear on this before you choose any system.

QuestionMenuthere today
Can guests pay online when they order?Yes, by card through your own Stripe account (Lite and above). Menuthere takes 0% commission. Stripe charges its own fee.
Can guests pay when the food arrives?Yes. Your team takes payment by card reader or cash at the door.
Does it post orders to the guest's folio in our PMS?No. There is no PMS integration, and orders are not added to the room bill automatically.
Can reception see room orders at checkout?Yes. Reception can search the dashboard's orders by room name and add them to the bill by hand. There is no "charge to room" option for guests at checkout.
Does it replace our hotel EPOS or PMS?No. It sits alongside them.

If charging everything to the room automatically is a must, you need a system that integrates with your PMS. If you're a small hotel or B&B that settles a few room service orders a night, paying on order or at the door is usually simpler.

For the hotel restaurant and bar

  • Table ordering: guests at the bar or in the restaurant scan a table code and order. A second round joins the open order and its bill. See the table ordering system.
  • Table booking: non-residents can book a table for a date and time slot. Table booking, including pre-ordering dishes with the booking, is on Lite and above (US$17 a month, 7-day free trial with a card; nothing is charged until it ends).
  • Staff ordering: staff can take an order for a table or room on the dashboard.
  • Bar and Sunday menus: schedule a bar snacks menu or a Sunday lunch menu so it appears and ends on time. See our pub ordering system for bar rounds and tabs.

UK rules to check for room service

  • Allergens: you must give guests information on the 14 allergens for every dish. The FSA's 2025 best practice guidance for non-prepacked food (England, Wales and NI) recommends having it in writing, backed by a conversation, and a clear signpost on the menu. It is guidance, not law. Menuthere helps with the written part on every plan: tag the allergens on each dish and guests see them before they order. Our 14 allergens guide explains what to include.
  • Alcohol: in England and Wales, selling alcohol is a licensable activity, and room service or minibar sales count. Your premises licence must cover them, including the hours. Some licences allow residents to be served outside normal hours, so check your own licence conditions. Scotland and Northern Ireland have their own licensing rules.
  • Late-night hot food: in England and Wales, hot food or drink sold between 11pm and 5am normally needs late night refreshment on your licence. It is exempt if, at that time, only guests staying the night (and their guests) can come in and be served. If the public can also come in and order, you need it on your licence.
  • VAT: food and drink served in rooms is standard-rated at 20%. Show prices including VAT.
  • Card surcharges: you can't add a surcharge for paying by card. Build card costs into your prices.
  • Service charges and tips: under the Employment (Allocation of Tips) Act 2023 (in force since 1 October 2024), all tips must be passed to workers without deductions. The statutory code of practice covers sharing tips, gratuities and service charges fairly, and having a written tipping policy.
  • Calories: businesses with 250 or more employees in England must show kcal on menus (since 6 April 2022). Most small hotels are below that. If you want to show them anyway, Menuthere lets you add kcal to each dish on every plan.

FAQs

How does a QR room service menu work?

You create a named QR code for each room and place it in the room. The guest scans it with their phone camera, orders, and the order reaches your dashboard and partner app tagged with the room. Accepting it prints a kitchen ticket.

Can guests charge room service to their room?

Not automatically. Menuthere has no PMS integration, so orders are not posted to the guest's folio. Guests can pay online by card (Lite and above) or when the food arrives. Reception can also review room orders in the dashboard at checkout and add them to the bill by hand.

Do guests need to download an app?

No. The menu opens in the phone's web browser after scanning the code.

Can I charge more for room service than in the restaurant?

Yes. Room QR codes can add a fixed amount to each item's price, so guests see the room-service price before they order. Use one menu for both.

Can I show the breakfast menu only in the morning?

Yes. Schedule items by day and time, and they are hidden outside those hours.

Can one system handle the restaurant, bar and room service?

Yes. Use categories on one menu, room codes for rooms, table codes for the restaurant and bar, and view-only codes for public areas.

What should a room service menu include?

Ordering instructions, hours for each menu, delivery time, prices including VAT, drinks with measures, an allergen signpost and how trays are collected.

Is Menuthere hotel restaurant software?

It covers ordering: menus, QR codes, table and room ordering, kitchen tickets, online payments and table booking. It is not a hotel PMS or a full EPOS, and it works alongside them.
