Free menu templates for UK restaurants, cafés, pubs and takeaways
Updated 19 October 2026
Pick a free menu template, add your dishes and £ prices, and print it or put it online. Every template below is free to make in our online menu maker and download as a print-ready PDF, or to copy into Word. No email needed. Each one is built for UK menus, with space for VAT-inclusive prices, an allergen statement and service-charge wording. Then turn it into a QR menu that guests can order from.
Choose a free menu template by venue
Each template below is a layout: which sections go where, and what UK wording to add. Make any of them in our free printable menu maker: type or paste your dishes, pick a design (Classic, Modern, Café or Bold board), choose an A4 menu or a counter board, set the currency to £ and download a print-ready PDF. No sign-up or email needed. Prefer Word or Google Docs? Copy the menu layout further down this page.

A4 is 210 × 297 mm. If you want A5 (148 × 210 mm) or a DL takeaway leaflet (an A4 sheet folded into three 99 × 210 mm panels), ask your print shop to set the PDF to that size, or use the copy-ready layout below in Word.
Restaurant menu templates
The classic layout runs starters, mains, sides and desserts down one A4 page. The blank restaurant menu template has the same grid with no artwork, so your logo and colours do the work. Use the elegant template for a set menu, with two or three courses at one price.
Café menu templates
Café menus are short and change often. Put drinks (coffee, tea, soft drinks) in one section and food in another, and leave a "today's cakes" line you can update each morning. A breakfast menu adds a "served until 11:30" line.
Takeaway menu templates
Takeaway menus are also leaflets. A DL leaflet folds an A4 sheet into three panels, with space for your phone number, opening hours, delivery area, minimum order and a QR code to order online. Customers who order direct don't cost you app commission. See our takeaway ordering system.
Pub and bar menu templates
A pub food menu fits mains, Sunday roasts and a specials section on one A4 page. A bar or drinks menu lists draught, bottles, wine by the glass, spirits and soft drinks, with the measure beside each price. That matters in the UK; see the drinks rules below.
Cocktail menu templates
A short card with a name, a one-line description and a price for each cocktail. If you change cocktails each season, keep the list in the menu maker or a Word document so it's quick to update.
Kids' menu templates
A small menu with big type and simple choices. If your business has 250 or more staff in England, kids' menus still need calories. They just don't need the 2,000 kcal statement.
QR code menu templates
A QR code menu template is a small card that sits on the table. Its QR code opens your online menu. Make the online menu first, then put its QR code on a card with our table QR card maker. See how in the last section of this page.
What every UK menu must include
Most free menu templates online are American. They miss UK rules. Use this checklist before you print.
| Must include | Who it applies to | What to write |
|---|---|---|
| Prices in £, including VAT | VAT-registered businesses | "£12.50", not "£10.42 + VAT" |
| Allergen statement | Every food business | A signpost line near the top (see below) |
| Allergen information for each dish | Every food business | In writing on the menu, or in an allergen matrix guests can see |
| Calories per portion + "Adults need around 2000 kcal a day" | Businesses with 250+ employees in England | "Chicken burger (720 kcal)" |
| Service charge wording | Anyone adding a service charge | Clear, and as prominent as your prices |
| Drinks measures | Pubs, bars, restaurants selling alcohol | "Gin 25ml", "Wine 125ml / 175ml / 250ml" |
| No card surcharge | Everyone | Don't add "3% for card payments": banned since January 2018 |
Prices including VAT
Show the price your guest pays. If you're VAT-registered, that price includes VAT. Different items carry different rates:
| Item | VAT rate | Menu price | VAT inside the price |
|---|---|---|---|
| Hot takeaway curry | 20% (standard) | £12.00 | £2.00 |
| Cold sandwich to take away | 0% (zero-rated) | £4.50 | £0.00 |
| Same sandwich eaten in | 20% (standard) | £4.50 | £0.75 |
At 20%, the VAT inside a price is the price divided by 6. If the eat-in and takeaway price is the same, your margin on the eat-in sale is lower. Our VAT on takeaway food guide has the full rules. Use the GP calculator or the menu price calculator to set prices that keep your margin.
Allergen statement
By law, you must tell guests if any of the 14 regulated allergens are in a dish. You can give the information in writing, or tell guests to ask staff. The FSA's best-practice guidance (February 2025) says written information backed by a conversation works best.
Put a short line near the top of every menu. For example:
Food allergies or intolerances? Please speak to us before you order. Allergen information for every dish is available.
The FSA's own example asks guests to "talk to us if you have a food allergy, intolerance or coeliac disease".
Then give the detail. Either write "Contains: milk, egg, mustard" under each dish, or keep an allergen matrix by the till. Make one free with our allergen matrix maker. On a Menuthere online menu, you can also tag each dish with its allergens, so guests see them before they order.
Careful with "GF". Only write "gluten-free" if you can control cross-contact. The FSA advises against "no gluten-containing ingredients" wording. "V" (vegetarian) and "VG" (vegan) are fine. If a vegan dish could pick up traces of milk or egg in your kitchen, tell guests.
Calories (England, 250+ staff)
Since 6 April 2022, businesses in England with 250 or more employees must show:
- kcal per portion, next to the dish name or price
- the statement "Adults need around 2000 kcal a day" on every menu page
This covers online menus and delivery apps too. Smaller businesses don't have to, but some choose to. The rule is for England only.
Service charge wording
If you add a service charge, make it as easy to see as your prices. Pick wording that matches what you actually do:
- Discretionary (optional): "A discretionary 12.5% service charge will be added to your bill. All of it goes to our team."
- Large tables: "A discretionary 10% service charge is added for tables of 8 or more."
- No service charge: "We don't add a service charge. Tips are welcome and all go to our team."
If the charge is compulsory, guests can't avoid it, so it must be part of the price shown. The CMA's price transparency guidance lists "mandatory cover or service charges at a restaurant" as charges to include in the total price. Since 1 October 2024, the law says businesses must pass all tips and service charges to workers in full. Only say "100% goes to our team" if that's true. Our tipping law guide covers the details.
Drinks measures (pubs and bars)
UK rules set the measures for some drinks. A drinks menu template should show them:
- Gin, rum, vodka and whisky: sold in 25ml or 35ml measures (or multiples), not both on the same premises. Display which one you use.
- Draught beer and cider: third, half, two-thirds of a pint, or pints.
- Wine by the glass: 125ml, 175ml or multiples. The small 125ml glass must be offered, and guests made aware of it.
In England and Wales, a licensed venue must also list the small measures (half pint, 25ml or 35ml, 125ml wine) on a menu or price list.
How to edit your free menu template
Copy-ready menu layout (for Word or Google Docs)
Copy this into a document, swap in your dishes and £ prices, and delete the lines you don't need. Then save it as a PDF before you print, so the layout doesn't move.
[YOUR VENUE NAME] [Address] · [Phone] · [Opening hours]
Food allergies or intolerances? Please speak to us before you order. Allergen information for every dish is available.
STARTERS [Dish name] · [one-line description] · £[price] Contains: [allergens]
MAINS [Dish name] · [one-line description] · £[price] Contains: [allergens]
SIDES · DESSERTS · DRINKS (with measures, such as 25ml, 125ml / 175ml, half or pint)
V = vegetarian · VG = vegan All prices include VAT. [Service charge line, if you add one] [Only if you have 250+ staff in England: kcal after each dish, and "Adults need around 2000 kcal a day"]
For a DL takeaway leaflet, fold the same content into six panels: the front (name, logo and an "Order online" QR code), the menu across the three inside panels, and the back panels for your phone number, opening hours, delivery area and minimum order.
Online, in the free menu maker
Open our free printable menu maker. Paste or type your dishes (or load your Menuthere menu), pick a design, colour and your logo, set the currency to £, and download a print-ready PDF. A long menu is split over pages so no dish is cut off. It works on a phone, and there's no sign-up.
Printing tips
- Table menus: 300–350gsm card, or laminate them. Wipe-clean menus last longer.
- Takeaway leaflets: 130–170gsm paper, DL folded.
- Bleed: professional printers usually want 3mm bleed. Ask your print shop how they want the file set up.
- Proof it: check every price and allergen against your recipes before a print run.
These paper weights are common UK print-shop defaults, not rules. Ask your printer.
Menu design tips that sell more
- Keep it short. A shorter menu is faster to read and cheaper to buy for.
- Lead with your best-margin dishes. Guests read the top of each section first.
- Drop the £ sign or put prices after the description. It moves attention from price to food. Keep prices clear, though.
- Describe, don't list. "Slow-cooked Welsh lamb shoulder" sells better than "Lamb".
- Use photos sparingly on paper. Save them for the online menu.

Turn your template into a QR menu with Menuthere
A printed menu can't change itself. When prices rise or you run out of something, the paper is wrong. So use your template twice: once on paper, once online.
- Upload your finished template to Menuthere. Sign up free and upload the PDF or a photo. AI reads your dishes and prices. Check them before you save.
- Add the extras paper can't hold. Photos, sizes, add-ons and a sold-out switch. Tag each dish with any of the 14 UK allergens, its calories (kcal) and a halal mark, on every plan including Free. Guests see them when they open a dish, and the menu list shows the kcal and how many allergens a dish has. That helps with the UK allergen rules, and with calorie labelling if you have 250+ staff in England (check you also show the 2000 kcal statement). Keep your allergen matrix by the till too; it can load your dish allergens from Menuthere.
- Download your QR code. It's free. Print it on a table QR card.
- Take orders. Guests can order at the table, or for collection and delivery, with 0% commission.
Now your printed menu and your digital menu always match the kitchen.
Free plan: QR codes, unlimited items, 50 orders a month, 0% commission.

FAQs
Is there a free menu template in Word?
We don't offer a Word file, but you don't need one. Copy the menu layout on this page into Word, overtype your dishes and prices, and save it as a PDF to print. Or make your menu in our free online menu maker and download a print-ready PDF.
What size should a restaurant menu be in the UK?
A4 is the most common for table menus. A5 suits cafés, cocktails and kids' menus. Takeaways usually use DL leaflets, which is an A4 sheet folded into three.
Do menu prices have to include VAT?
Yes. If you're VAT-registered, show prices including VAT, so the guest sees what they'll pay. Hot takeaway food and eat-in food are standard-rated at 20%. Most cold takeaway food is zero-rated.
Do I have to put allergens on my menu?
You must give allergen information for the 14 regulated allergens. It doesn't have to be on the menu itself. It can be in an allergen matrix or given by staff, with a sign telling guests to ask. The FSA recommends written information plus a conversation.
Do I need to show calories on my menu?
Only if your business has 250 or more employees and operates in England. Then you must show kcal per portion and the statement "Adults need around 2000 kcal a day".
How do I word a service charge on a menu?
Say whether it's optional and what percentage it is. For example: "A discretionary 12.5% service charge will be added to your bill." Make it as easy to see as your prices.
Can I add a charge for paying by card?
No. Card surcharges on consumer cards have been banned in the UK since January 2018. Build card fees into your prices instead.
How do I make a QR code menu from a template?
Upload your finished menu to Menuthere. It turns it into an online menu and gives you a free QR code to print on your tables.
Can I use these templates for my business?
Yes. They're free to use, edit and print for your own venue. You can't resell the templates themselves.
