Online ordering for bubble tea shops: sugar, ice and toppings, right first time
Updated October 20, 2026
Online ordering for a bubble tea shop works when the customer makes every choice on the screen (tea, size, sugar level, ice level and toppings) before the drink reaches your counter. With Menuthere, sugar and ice are required choices, toppings are capped, and the ticket prints all of it. Customers pay into your own Stripe account and pick a pickup time, and you pay no commission. The Free plan takes 50 orders a month. Lite, at $17 a month, adds unlimited orders, card payments and pickup slots.
In short
- Five decisions, all on screen. Tea, size, sugar %, ice and toppings are each required or capped, so "regular, no ice, 50%, double boba" arrives exactly like that.
- Double boba counts. Toppings sit in an "Up to 3" group where two of the same topping is allowed and counts as two.
- The after-school rush. Rolling pickup slots (Lite) offer "now + 15" and "now + 30", so a group of 10 orders doesn't hit the bar at once.
- "Non-dairy" isn't dairy-free. Many creamers contain caseinate, a milk derivative. Mark milk on those drinks.
- Small tickets, honest math. Stripe's 30¢ is 4% of a $7.50 drink; the example below compares it with app pickup rates.
Why boba orders go wrong, and how online ordering fixes it
A bubble tea order is a build sheet. Over the counter, staff ask each question in turn. On a phone call or a typed message, the questions get skipped: nobody says the ice level, "less sweet" means 30% to one person and 70% to another, and "boba" could mean tapioca pearls or popping boba.
Online ordering fixes this only if the menu forces the answers. That means a required choice for every decision that changes the drink, and a cap on anything that adds cost.
The boba build sheet
| Menu piece | Example | How you set it up in Menuthere |
|---|---|---|
| Tea base | Black milk tea, jasmine green, oolong, Thai tea, taro | Separate menu items, or one item with a required single-choice "Tea" group |
| Size | Regular (16 oz) $6.25, Large (24 oz) $7.25 | Sizes, one required pick, each with its own price |
| Sugar level | 0%, 25%, 50%, 75%, 100% | Add-on group, single choice, Required |
| Ice level | No ice, less ice, regular, extra | Add-on group, single choice, Required |
| Milk | Creamer (standard), whole milk +$0.50, oat milk +$0.75 | Single choice, required |
| Toppings | Tapioca pearls +$0.75, popping boba +$0.85, grass jelly +$0.75, pudding +$0.85, cheese foam +$1.25 | Add-on group, multiple, Up to 3, with More than one of each on |
| Hot or iced | Hot available for milk teas only | A required choice on the drinks that offer it |
| Snacks | Popcorn chicken, egg waffle | Their own category, suggested when a drink goes in the cart |
Everything above is on the Free plan. On the customer's screen each group shows its rule, such as "Required · choose 1" or "Optional · up to 3 in total". In the toppings group, a picked option becomes a − 1 + counter, so "Tapioca pearls ×2" plus pudding is three toppings, and each one adds its price.
A sugar or ice group with no price is fine: leave Extra Price empty and the option is free. The point is the question, not the money.
The after-school rush, 3 to 6 PM
Boba shops get their rush when school lets out and again in the evening. Here's how to keep it moving.
- Spread the orders. With rolling slots (Lite), checkout offers "now + 15 min" and "now + 30 min". Booked orders wait in the Prebookings tab, and a red Prepare now box counts down the ones due within the hour.
- Show a real time. Set an average takeaway time, such as 12 minutes, and customers see it at checkout for orders placed for as soon as possible. Raise it when the line is long.
- Let it ring, or accept for you. New orders ring on the partner app until accepted. Auto-accept after 30 seconds to 2 minutes, with automatic printing, keeps tickets coming when every hand is shaking a cup.
- Out of taro? Switch the drink off in one tap and back on when you restock. Nothing comes back by itself. Out of a topping? Add-on options have no on/off switch, so remove it from the group until it's back.
- Big group orders. A customer's order note prints on the kitchen ticket, so "label cups with names" reaches the bar.
Deals that work for boba
| Deal | Example | Plan |
|---|---|---|
| Item offer | Brown sugar milk tea $1 off for 7 days, old price crossed out | Lite |
| Discount code | "STUDENT10": 10% off pickup, Monday to Thursday | Lite |
| Auto-applied deal | $2 off orders over $25 (a group order), no code | Lite |
| Buy X get Y | Buy 3 drinks, get a classic milk tea free | Pro |
| Loyalty points | 5% back as points on completed orders | Pro |
Coupons can be limited by weekday, order type, minimum order and number of uses, but not by time of day. For a happy hour, run an item offer on the days you choose and switch it off yourself. A free reward must be a menu item, not an add-on, so "a free topping" isn't possible as a reward; "a free drink" is.
Allergens: the creamer trap, and sesame
Mark each drink's allergens and calories on the dish (every plan). Customers see them when they open it. Three things catch boba shops out:
- "Non-dairy" creamer often contains milk protein. FDA's labeling rule says that when a food labeled "nondairy" contains a caseinate, the ingredient list must say where it comes from, such as "sodium caseinate (a milk derivative)". Check your creamer's label. If it lists caseinate, mark Milk on every drink made with it, even if the bag says non-dairy.
- Sesame is a major allergen. Since 1 January 2023, sesame has been the ninth major food allergen in the US, under the FASTER Act. Black sesame drinks and some toppings contain it; Menuthere's allergen list includes sesame.
- Toppings have no allergen mark of their own. Allergens are set per dish. If a topping such as cheese foam contains milk, say so in its option name ("Cheese foam (milk)"), and mark milk on drinks that always come with it.
FDA's packaged-food allergen labeling doesn't cover drinks made to order, but customers with allergies rely on what your menu says. For a printed version by the register, use the free allergen chart maker.
Caffeine. Menuthere has a Caffeine field per dish, used by its free tools, but it isn't shown to customers on the menu. If you want to show it, put it in the description. FDA cites 400 mg a day as an amount not generally linked to negative effects for most adults.
What it costs: a worked example
A shop takes 900 online orders a month at $7.50 on average, so $6,750.
| Channel | Rate | Monthly cost |
|---|---|---|
| Uber Eats, Plus plan (delivery) | 25% | $1,687.50 |
| DoorDash, Basic plan (delivery) | 15% | $1,012.50 |
| Uber Eats, pickup | 7% | $472.50 |
| DoorDash, pickup | 6% | $405.00 |
| Menuthere Lite + Stripe | $17 + 2.9% + 30¢ per card order | $17 + $195.75 + $270.00 = $482.75 |
On single drinks, Stripe's fixed 30¢ makes your own link cost about the same as an app's pickup rate. Your link wins clearly on delivery orders and on bigger baskets: a 4-drink, $30 order costs $1.17 in Stripe fees against $7.50 at 25%. Nudge baskets up with snacks suggested next to every drink and an auto-applied deal for group orders. With your own delivery you also cover the driver, or pass an Uber Direct fee to the customer at checkout.
Ingredient check. BLS put US average retail white sugar at $1.02 a pound and whole milk at $4.11 a gallon in September 2026. Use your own wholesale prices in the menu price calculator, which works in US dollars.
App rates are from our DoorDash and Uber Eats commission pages.
Not a fit if
- You need a self-order kiosk. Menuthere has no kiosk mode. Customers in the shop can order from a table or counter QR code on their own phone; see the QR code menu for cafes.
- Your POS must get the orders by itself. There's no ready-made link to Square, Toast or Clover.
- You want a cup-label printer. Menuthere prints the kitchen ticket and the bill, not sticker labels.

Frequently asked questions
Can customers choose sugar and ice levels online?
Yes. Add sugar level and ice level as single-choice add-on groups and switch on Required. The customer must pick one of each before adding the drink, and both print on the kitchen ticket.
Can customers order double boba?
Yes. In a toppings group with More than one of each switched on, a customer can take two of the same topping. Up to 3 counts every topping, so double pearls plus pudding is three.
Can I limit how many toppings a drink can have?
Yes. Set Up to on a multiple-choice group, for example 3. The customer can't add more than that, and each topping adds its own price.
Is non-dairy creamer safe for customers with a milk allergy?
Not always. Many non-dairy creamers contain a caseinate, which FDA rules say must be listed as a milk derivative. Check the label, and mark Milk on drinks made with it.
Does the menu show caffeine for each drink?
No. The Caffeine field is stored for Menuthere's free tools but isn't shown to customers. Allergens and calories are shown. Put caffeine in the drink's description if you want customers to see it.
Can I run a buy 3 get 1 free deal?
Yes, on the Pro plan, with Buy X get Y. The reward must be a menu item, such as a classic milk tea. On Lite, use an item offer or an auto-applied discount instead.
Does Menuthere have a kiosk mode?
No. Customers order on their own phone from your link or a QR code at the counter or table. Orders arrive in the dashboard and ring on the partner app.
