Online ordering for coffee shops: order ahead, skip the line

Updated October 20, 2026

Online ordering for a coffee shop means regulars order and pay from your own link, pick a pickup time such as 15 minutes from now, and walk in to a drink that's already made. With Menuthere, the order rings at the bar, the ticket prints with every milk and syrup choice, and the money goes to your own Stripe account. There's no commission. The Free plan takes 50 orders a month. Lite, at $17 a month, adds unlimited orders, card payments and the pickup-time picker.

In short

  • Order-ahead is now normal. Mobile orders were 33% of transactions at Starbucks' US company-operated stores in the quarter to 28 June 2026, up from 29% in late 2023.
  • Pickup "now + 15". Rolling slots (Lite) offer times counted from the moment the customer orders, inside your opening hours.
  • Every choice on the ticket. Size, milk, extra shot and syrup pumps are required or limited choices, so the bar never guesses.
  • Small tickets, honest math. On a $7 latte Stripe's 30¢ is 4.3% of the order. The section below shows when your own ordering beats an app's pickup rate, and when it doesn't.

Why order-ahead matters for an independent coffee shop

The morning line is where a coffee shop wins or loses its regulars. Someone who sees eight people ahead of them at 7:50 AM walks to the next shop, or orders on an app that knows where they are.

The chains have trained customers to order ahead. Starbucks reports that mobile orders made up 33% of transactions in its US company-operated stores in its third fiscal quarter of 2026, up from 29% in the fourth quarter of fiscal 2023. Your regulars expect the same from you: open a link, tap "the usual", choose a time, pay, and skip the line.

You don't need your own app for that. A link on your Google profile, on a sign by the door and on every cup sleeve does the job. If you later want an app in the stores under your own name, that's the coffee shop app on the Branded App plan.

The drink build sheet

A coffee order is a set of choices. Set them up so that each one is either required or capped, and the barista never has to ask.

Menu pieceExampleHow you set it up in Menuthere
SizesLatte: 12 oz $5.25, 16 oz $5.95, 20 oz $6.55Sizes (variants), one required pick, each with its own price
MilkWhole, 2%, oat +$0.75, almond +$0.75Add-on group, single choice, Required
EspressoExtra shot +$1.00, decaf, half-cafAdd-on group, multiple, "Up to 2"
SyrupVanilla, caramel, hazelnut +$0.60 per pumpAdd-on group, multiple, "Up to 4", with More than one of each on, so two pumps of vanilla read "Vanilla ×2"
TemperatureHot, icedAdd-on group, single choice, required, or separate items if iced drinks cost more
PastriesButter croissant, blueberry muffinTheir own category, suggested when a latte goes in the cart
Breakfast sandwichesShown 6:30 to 11:00 AM onlySet Time on the dish: it disappears from the menu outside the window
Retail beans12 oz bag, whole bean or groundSizes, plus a required "Grind" choice

Everything in this table is on the Free plan. Each add-on price is added once per pick, so "Vanilla ×2" at $0.60 adds $1.20.

Two details save time at the bar. Switch off Show on Delivery for drinks that don't travel well, such as a cappuccino with a tall foam cap, and they only appear for pickup. And when you run out of oat milk at 9 AM, switch off that one option or the drink, and switch it back on when the delivery comes. Nothing changes by itself.

Pickup times that match the morning line

Order-ahead works when the customer picks a time the bar can keep. Menuthere gives you two ways to do it, both on Lite.

SettingWhat the customer seesGood for
Rolling from now, every 15 min, 2 slots"Now + 15 min" and "Now + 30 min"The commute: order at home, collect on the way
Fixed time rangesSet windows, such as 7:00 to 9:00 AMOffice orders and catering boxes, booked a day ahead
Average takeaway time"Average time to prepare your order: 10 min" at checkoutOrders placed for as soon as possible
Pre-orders while closed"Pre-order for later" on the closed screenTomorrow's 7 AM latte, ordered tonight

Rolling slots are for today only and always stay inside your working hours, so nobody books a drink for 6:15 AM if you open at 6:30. Fixed ranges let a customer book days ahead, which suits a Friday office order of 12 drinks and a box of pastries.

When an order is booked for a time, it waits in the Prebookings tab. A red Prepare now box lists everything due within the hour, with a countdown such as "Due in 25 min", so the bar makes it at the right moment, not the moment it arrives.

At the bar: alerts, tickets and the 8 AM rush

  • It rings until someone accepts. New orders ring on the Menuthere partner app on Android, iPhone or the Windows counter app. A plain browser tab doesn't ring, so keep the app open at the bar.
  • Hands full? Auto-accept can take an order after 30 seconds to 2 minutes of ringing if nobody taps Accept. Pair it with automatic printing so the ticket comes out on its own.
  • The ticket lists the choices. The kitchen ticket shows the size, the milk, each add-on and the customer's note, with no prices. The order number, the time and, for a booked pickup, the slot are on it, so the cup can be labeled from the ticket.
  • Too busy? There's no automatic order cap. Raise the average time customers see, switch off slow drinks, or close online ordering for a while with the Open/Closed switch.
  • Pay online or at the counter. With Stripe connected, you choose per order type: online only for pickup, or online and "Pay at store".

Allergens, calories and caffeine

Every plan lets you mark a drink's allergens (milk, soy, tree nuts and the rest of the 14 on Menuthere's list) and its calories. Customers see them when they open the drink. Oat and almond milk options are where coffee shops most often get this wrong, so mark the drinks, and say in the option name what the milk is.

There's also a Caffeine field on each dish. It's stored for Menuthere's free tools, such as the allergen chart, and isn't shown to customers on the menu. If you want customers to see it, put it in the description, for example "about 150 mg caffeine". For context, the FDA puts 400 mg a day as an amount not generally linked to negative effects for most adults, and gives 113 to 247 mg for a 12 oz cup of brewed coffee.

If your brand has 20 or more locations under the same name, FDA menu labeling rules apply to you, and they cover menus on the internet too. See FDA menu labeling requirements before you go live.

The small-ticket math: your link vs an app's pickup rate

Coffee orders are small, so the fixed part of a card fee matters. Here's an honest example.

A shop takes 1,040 order-ahead pickup orders a month (40 a day, 26 days) at an average of $9.00, so $9,360 a month.

ChannelHow it's chargedMonthly cost
DoorDash, pickup6% of the order, card processing included$561.60
Uber Eats, pickup7% of the order, card processing included$655.20
Menuthere Lite + Stripe$17 + 2.9% + 30¢ per card order$17 + $271.44 + $312.00 = $600.44
Menuthere Lite, half paid at the counter$17 + Stripe on 520 orders$17 + $135.72 + $156.00 = $308.72, plus your terminal's fee on the rest

On a $9 ticket, Stripe's 30¢ is 3.3% of the order before the 2.9%. So your own ordering costs about the same as an app's pickup rate on small tickets. The difference is who owns the customer: the order, the customer's details and the repeat visit are yours, not the app's. The fee gap opens on bigger orders. A $45 office order costs $1.61 in Stripe fees on your link, against $2.70 at 6%.

Ways to lift the ticket: suggest a pastry with every latte, sell 12 oz bags of beans for pickup, and take office orders a day ahead with fixed slots. For the prices themselves, see how to price coffee and the menu price calculator. App rates are from our DoorDash and Uber Eats commission pages.

Loyalty: points instead of a paper card

On Pro ($39 a month), completed orders earn points as a percentage of the order, and 1 point is worth $1 off a later order. At a 5% earn rate, a regular who spends $9 a day for 20 days earns 9 points, worth $9: about one free latte a month. You can set different rules for pickup and dine-in, and a minimum order to earn. Only signed-in customers earn. More ideas are on loyalty programs for cafes.

On Lite, a coupon or an auto-applied deal, such as $1 off orders over $15, does a similar job without points. Coupons can be limited by weekday, order type and number of uses, but not by time of day.

Not a fit if

  • Your POS must receive online orders by itself. Menuthere has no ready-made link to Square, Toast or Clover. Orders arrive in the Menuthere dashboard and print from there.
  • You need a drive-through or curbside flow. There's no "I'm here" button or car details at checkout.
  • You want customers to see caffeine on the menu automatically. Put it in the description instead.

Customers in the shop can order from a table QR on every plan, see the QR code menu for cafes. Regulars who message you can reorder on WhatsApp, see WhatsApp ordering for cafes. In the US, WhatsApp sends order updates, not promotions: Meta doesn't deliver marketing messages to +1 numbers, so use email for offers.

Set up order-ahead for your coffee shop

  1. Create your store. Find your coffee shop on Google to fill in the name, address, hours and photos.
  2. Build the drinks. Add sizes with their own prices, then a required milk group and capped syrup and espresso groups.
  3. Set your hours. Add working hours, and Set Time on breakfast items so they leave the menu at 11 AM.
  4. Turn on rolling slots (Lite). Prebooking settings: Rolling from now, every 15 minutes, 2 slots.
  5. Connect Stripe. Customers pay by card, Apple Pay or Google Pay into your own Stripe account.
  6. Put the partner app at the bar. Let it ring, and switch on auto-accept and printing if your hands are full.
  7. Share the link. Add it to your Google profile, a sign by the register and the cup sleeve, then place a test order.

Frequently asked questions

Can customers order ahead and choose a pickup time?

Yes, on the Lite plan. With rolling slots, checkout offers times counted from now, such as in 15 and 30 minutes. The times stay inside your opening hours and are for today only.

Can I make milk choice required?

Yes. Add a single-choice add-on group called Milk and switch on Required. The customer must pick one before adding the drink, and the choice prints on the ticket.

Can customers add more than one syrup pump?

Yes. In a multiple-choice group with More than one of each switched on, a customer can take two pumps of the same syrup, and Up to caps the total. Each pump adds its price.

Can I hide breakfast items after 11 AM?

Yes, on every plan. Switch on Set Time on the dish and pick the days and hours. Outside that window the dish is removed from the menu.

Does it show caffeine content to customers?

No. The Caffeine field is stored for Menuthere's free tools but isn't shown on the menu. Allergens and calories are shown. Put caffeine in the dish description if you want customers to see it.

Is online ordering cheaper than a delivery app's pickup orders?

On small tickets it's about the same. On a $9 order, Stripe's 2.9% + 30¢ is about 6.2%, close to DoorDash's 6% pickup rate. The saving grows on bigger orders, and the customer and their repeat visits stay with you.

Can I use it with my Square or Toast POS?

Not directly. Menuthere has no ready-made link to Square, Toast or Clover. Orders arrive in the Menuthere dashboard and partner app, and print from there.
