How do I train staff to take WhatsApp orders the same way every time?
Updated 18 October 2026
Give staff one short routine and write it on a card by the phone: greet the customer, send the menu link, confirm the address and payment, then give a time. The same steps every time prevent most mistakes.
- Greet: use one saved greeting so every customer gets the same first reply.
- Send the menu link: the customer chooses items themselves, so staff do not type orders from memory.
- Confirm: check the address, the payment and the time before the order is accepted.
- Practise: let each new person take two test orders from you before they use the real phone.
- Names: use the same item names as the menu, so the kitchen sees what the customer sees.
Staff only accept; customers build the order
Customers choose items, sizes and add-ons from your menu, so staff just accept the order. Give each person their own login, and the phone rings until someone accepts.
