Free staff rota maker and rota template (UK)

Plan your team's week in minutes with this free staff rota maker. Add your staff and shifts, then tap the grid to fill Monday to Sunday. It totals everyone's hours, works out the wage bill and labour cost if you add pay, and flags under-18 hours and pay below the minimum wage. Print it for the staff room, share it on WhatsApp, or download a CSV for Excel. No sign-up, and it's saved on your device.

Make my order page

How it works

  1. 1

    Add your team and shifts

Name, role and, if you like, age band and hourly pay. Then your shifts, such as Open 07:00–15:30 counting 8 paid hours after a 30-minute unpaid break.

  2. 2

    Fill the week

Tap a box to cycle through shifts, or set a whole week in one go. Hours per person, per day and for the week add up as you go.

  3. 3

    Check, then share

Fix any warnings, then print on A4 landscape, download a CSV for Excel, or send the rota as an image to your team's WhatsApp group.

Example: a UK café's weekly rota

This is the example the maker opens with for UK visitors. Weeks start on Monday.

Ellie (Front of house, 17)OffOffOffOffOffMidMid12
Jack (Front of house, 19)OffOffOffOffMidMidMid18
Total147.5

Open is 07:00–15:30 (8 paid hours), Mid 11:00–17:30 (6) and Close 15:00–23:00 (7.5), each after a 30-minute unpaid break. At the example pay (Sam £14.50, Priya £12.71, Tom £13.50, Ellie £8.00, Jack £10.85) the wage bill is £1,885.95 before employer National Insurance, pension and holiday pay. On £7,500 of sales (ex VAT), that's a labour cost of 25.1%.

UK working-time rules your rota should follow

The maker checks hours a day and a week for under-18s, flags weeks over 48 hours, and checks pay against the minimum wage. It warns you, but never stops you printing. Rest breaks and rest between shifts depend on start and finish times, so check those against the table yourself. It's a planning aid, not legal advice. Contracts can give more than these minimums.

UK working-time rules
RuleWorkers 18 and overYoung workers (16–17, above school-leaving age)
Rest break during a shift20 minutes unbroken if working more than 6 hours30 minutes if working more than 4.5 hours
Daily rest between shifts11 hours in a row12 hours in a row
Weekly rest24 hours each week, or 48 hours each fortnight48 hours each week
Maximum hours48 a week on average, usually over 17 weeks8 hours a day and 40 a week, no averaging
Opting out of the 48-hour limitAllowed, voluntary and in writingNot allowed
Night workNormal night-work rulesUsually not 10pm–6am (or 11pm–7am by contract). Hotels and catering have exceptions, but never midnight–4am
  • Breaks don't have to be paid. It depends on the contract. Give each shift the paid hours it counts for.
  • The “clopen”. Closing at 23:00 and opening at 07:00 leaves 8 hours, not 11.
  • The 48-hour limit is an average. One 55-hour week is allowed if the average over the reference period stays at 48 or below, unless they've opted out.
  • Under-16s (below school-leaving age) have different, stricter rules, and most councils need you to get a child employment permit.

Minimum wage check

Add an hourly rate for each person and the maker compares it with the legal minimum for their age band. These rates apply from 1 April 2026:

Minimum hourly rates from 1 April 2026
Age bandHourly rate
21 and over (National Living Wage)£12.71
18 to 20£10.85
Under 18£8.00
Apprentice£8.00

Tips and service charges can't be used to top up pay to the minimum wage. Since October 2024, they must also be passed to staff in full. Our tipping law guide explains tronc.

Labour cost: the number to watch

Labour cost % = wages ÷ sales (ex VAT) × 100. The maker shows it when you enter your expected sales for the week. Add an on-costs percentage to include employer National Insurance, pension and holiday pay. Employer National Insurance is 15% on pay above £96 a week per employee (2026–27), and the Employment Allowance can reduce your bill by up to £10,500 a year.

Labour is usually your biggest cost after food and drink. To see how many covers or orders you need to cover it, try our break-even calculator.

Rota tips for cafés, pubs and takeaways

  • Rota to your busy hours, not your opening hours. Check last month's orders by hour. A takeaway might need two drivers from 17:30 to 21:00 but none at 16:00.
  • Publish two weeks ahead. Staff plan their lives better, and you get fewer swaps. The Employment Rights Act 2025 will also bring a right to reasonable notice of shifts, and pay for shifts cancelled at short notice. The government plans this for 2027, with the details still to be set.
  • Use split shifts with care. A 10:00–14:00 and 17:00–21:00 split covers lunch and dinner, but the gap is unpaid and unpopular. See why the split shift is a menu problem.
  • Plan holidays. Workers get 5.6 weeks' paid holiday a year (28 days for a 5-day week, capped at 28).
  • Pin a printed copy and share the image. Then nobody can say they didn't see it.

Fewer phone orders, calmer shifts

A rota tells you who's on. It doesn't stop the phone ringing during service. With Menuthere, customers order from your own page or by QR code, and the order goes straight to your team, with ringing order alerts, kitchen tickets and unlimited staff logins. See the takeaway ordering system.

More questions

What's the difference between a rota and a roster?

Nothing, apart from the word. “Rota” is what most people say in the UK. “Roster” is more common in Australia, the US and India. This page used to be the staff roster maker.

Will my rota be saved?

Yes, in your browser on that device. Nothing is sent to Menuthere. Download a PDF or a CSV if you want a copy elsewhere.

Questions owners ask

Answered, plainly.

List your staff, decide your shifts with start and finish times and the paid hours each counts for, then fill in who works when for Monday to Sunday. Check hours and pay, then share it. The free rota maker above does the sums and checks for you.

Yes. Fill in the rota maker, then press Download CSV for Excel. It opens in Excel or Google Sheets with each person's shifts, hours and, if you added pay, wages.

Adults get at least a 20-minute unbroken break if they work more than 6 hours. Under-18s get 30 minutes if they work more than 4.5 hours. The break doesn't have to be paid unless the contract says so.

No more than 8 hours a day or 40 hours a week. They need 12 hours' rest between working days and 48 hours off each week. They usually can't work 10pm to 6am, and never midnight to 4am.

Yes, if they're 18 or over and agree in writing to opt out. Without an opt-out, the limit is an average of 48 hours a week, usually over 17 weeks, so some weeks can be longer.

It flags under-18 daily and weekly hours, weeks over 48 hours and pay below the minimum wage. Rest breaks and rest between shifts depend on times, so check those yourself. It's a helpful check, not legal advice. For anything unusual, use Acas or GOV.UK guidance.
