The problem
If you take orders in WhatsApp chats, the chat is the order book. That works until it doesn't. These are the four places it usually fails.
A new order is one more chat between the others. The Business app can send a greeting when a customer first writes and after 14 quiet days. It does not place, count or chase an order.
The Business app works on one phone plus up to four linked devices, and everyone sees the same chats. Assigning a chat to one person needs a Meta Verified or Meta One subscription. Nothing stops two people answering the same customer.
The customer asks where the order is and someone scrolls up to find out. A label can mark a stage for you. A label cannot tell the customer.
Paying a business inside the chat exists only in India, Brazil, Mexico and Indonesia. Elsewhere it is a bank transfer, a link or cash. A screenshot is only a picture, so check the money in your own bank, UPI or gateway app.
The free app
The free app is enough for a while. If you take a few orders a day and type every reply yourself, these tools keep the chats in order.

Read from WhatsApp's own pages on 30 September 2026. These tools work when you type each total and each reply yourself. The fix
Order management gets easier when each order is a record in a dashboard. Here is how that works on Menuthere.

Orders from a WhatsApp Order Now link are tagged WhatsApp. Items, sizes, add-ons, address and payment choice arrive complete, so nobody retypes them. Alerts repeat until the order is accepted, and auto-accept can take it for you. Staff logins are unlimited, so the person on shift opens the app and sees the same list. Nobody shares one phone.

Order status
Most "where is my order" messages are avoidable when the customer can see the answer.
The customer opens one link and sees where the order is. Nobody on your staff has to answer the same question by hand.
From your own WhatsApp Business number: order placed with the bill and a View Order button, accepted, food ready, dispatched with a tracking link, completed and cancelled. You can edit the messages in the flow builder. Customers who start from your WhatsApp number get updates in the same chat.
On every plan, customers can chat with you on WhatsApp and you get a copy of each order on your number. The order itself stays in the dashboard, so the chat does not have to hold it.
Payments
On Menuthere the customer picks how to pay at checkout, and the order is marked with that choice. The gateway records each online payment, so there is no screenshot to check. Fees go to the gateway, and Menuthere adds none. Read more in how to avoid fake payment screenshots.
Online payments are available in India and in the countries where Stripe opens accounts. In other countries, use cash, pay on pickup or your own payment link.

An API inbox means a provider's shared inbox or bot on the WhatsApp Business Platform. Menuthere is an ordering system with WhatsApp on top. It does not replace a chat inbox.

Provider prices are set by each provider. If your customers will only ever type their order in a chat, an inbox is the right tool. If you want them to order from a menu, use an ordering system. See pricing for the Menuthere plans.
Which fits
Start free. If you get a few orders a day and type every reply, the Business app with labels and quick replies is fine. When typing totals is the slow part, put a Menuthere link in your quick replies. The Free plan includes 50 orders a month. After that the menu turns view-only for ordering until the 1st, or until you upgrade. See the free WhatsApp ordering system.
