Catering online ordering: trays, lead times and delivery windows
Updated October 19, 2026
A catering online ordering system lets a client order "sandwich platter for 20, Thursday, delivered 11:30 to 12:00" on your website and pay for it, without three emails and a phone call. Menuthere gives you that page with your own catering menu, a lead time you set, delivery windows, a minimum order and payment up front, at 0% commission. Ordering is free for 50 orders a month. Booking orders for a future date and card payments to your own Stripe account start on Lite at $17 a month.
In short
- Sell by headcount. "Serves 10, 20 or 40" works as sizes, each with its own price.
- Orders arrive with the date, window and payment sorted. Set the notice, the days you cater and the delivery windows (Lite).
- Protect your margin: a minimum order for delivery, a delivery fee by distance or zone, and a packaging charge for trays and cutlery.
- Restaurants with a catering menu: catering items can be pre-order only, so they never land in the dinner rush.
- Not built in: deposits, net-30 invoices, recurring weekly orders and event quotes. Free tools and a payment link cover them.
Who this is for
- Drop-off caterers selling platters, boxed lunches and hot trays to offices, schools and parties.
- Restaurants with a catering menu, such as taco bars, sandwich shops and barbecue joints.
- Home and small caterers taking party orders a few days ahead.
- Food trucks and bakeries doing private orders. See QR menus for food trucks and bakery online ordering.
Not the main fit: full-service event caterers who quote each wedding by guest count, staffing and rentals. Use Menuthere for the drop-off side and a quote for the events. More on that below.
Build a catering menu that orders itself
Catering menus fail online when the client can't tell how much food they're buying. Name every size by headcount. Everything in this table is on the Free plan.
| You sell | How to set it up | Example |
|---|---|---|
| Platters by headcount | Sizes (variants), each with its own price | Sandwich platter: Serves 10 $95, Serves 20 $180, Serves 40 $340 |
| A required choice | Add-on group, single choice, required | Bread: white, wheat, gluten-free +$15 |
| Picks for a tray | Add-on group, multiple choice, "Up to" a number | Taco bar proteins: choose up to 3 |
| Extras | Add-on group, optional | Cookie tray +$30, utensils and plates +$1 a head |
| Boxed lunches | One item with a quantity | Boxed lunch $14.50 each; the client orders 25 |
| Items you only sell for pickup | The Show on Delivery, Show on Takeaway and Show on Dine-in switches on each item | Hot trays for pickup only |
| Labeled allergens | Tag the 14 common allergens and calories on each item | Vegan wrap platter: Gluten, Sesame |
| Event-only items you quote | "Price as per Size / Custom": shows without a price or Add button | "Wedding and event catering: call for a quote" |
| A drinks add-on | Recommendations on each platter | Lemonade gallon suggested with every platter |
An add-on costs the same on every size. If "gluten-free bread" should cost more for 40 people than for 10, give each size its own item or price it per head as a separate add-on.
Lead times and delivery windows (Lite)
All of this is in Prebooking settings. It's what turns your website into a catering order form.
| Setting | What it does | A caterer's example |
|---|---|---|
| Applies to: Specific items | Only the items you tick need a booking; your normal menu orders as usual | Tick every catering platter |
| Earliest booking time | The notice you need, in minutes, hours or days | 48 hours |
| Book up to | How far ahead clients can book | 60 days |
| Only made on | The days you cater | Monday to Saturday |
| Start from tomorrow | No same-day orders | On |
| Fixed time ranges | The delivery or pickup windows clients choose from | 7:30–8:00 AM, 11:00–11:30 AM, 11:30 AM–12:00 PM, 5:00–5:30 PM |
| Pre-orders while closed | Clients can book on a Sunday night for Thursday | On |
Slots are cut to your opening hours and to your delivery hours, so a client never books a time you can't deliver. On the morning, the Prebookings list puts orders due within the hour in a red "Prepare now" box, with rows turning amber when due and red when late. Each kitchen ticket shows the booked time in bold, plus the client's note.
Two rules to plan around:
- One schedule for all catering items. Every ticked item shares one notice, one set of days and one set of windows. If hot trays need 48 hours and cookie platters only 24, set 48.
- Catering items are ordered on their own. A basket with a ticked platter and an everyday item is asked to split. For a restaurant, that's useful: catering orders never get mixed into tonight's dinner tickets.
Money: minimums, fees and payment up front
| You want | How | Plan |
|---|---|---|
| No tiny delivery orders | A minimum order amount for delivery, such as $150. It doesn't apply to pickup. | Free |
| A delivery fee that covers the drive | A flat fee, or base fee plus a rate per km, price bands, or a fee per zone | Flat: Free. By distance or zone: Lite. |
| Free delivery on big orders | For example, free delivery over $400 within 15 km | Lite |
| A charge for trays, cutlery and boxes | Packaging charge once per order, per item, or a set amount for chosen items | Free |
| Payment before you cook | Connect Stripe and switch Cash off for delivery and pickup orders | Lite |
| Apple Pay and Google Pay | Switch them on in your own Stripe account | Lite |
| A discount for big orders | A discount with a minimum order value, such as 10% off over $500 | Lite |
Payment rules are set per order type, not per item. If you're a restaurant and switch off cash for pickup, it applies to all pickup orders, not only catering. Distances are in kilometers (10 miles is about 16 km).
Card money goes to your own Stripe balance. Stripe's standard US price is 2.9% + 30¢ per domestic card, and Menuthere adds nothing. On a $400 order that's $11.90 in card fees. On a delivery app at a 25% commission, it would be $100.
The office-order workflow
Office managers are the best catering clients: they reorder. Here's how to make that easy.
- Give them one link. Put your catering menu link in your email signature and on every invoice.
- They book Thursday's lunch on Monday, choose the 11:30 to 12:00 window, type "Building B, 4th floor, ask for Dana" in the note, and pay by card.
- You see it in Prebookings, confirm, and the ticket prints with the window in bold on Thursday morning.
- Turn on full address details at checkout, so suite and floor are required on delivery orders.
- Keep the client. On Lite, the customer list shows who ordered and how often, and you can export it. On Pro, you can send WhatsApp updates and run loyalty points.
Thinking about delivery apps for catering? Their commission is the same on a $400 order as on a $20 one: DoorDash takes 15% to 30% on delivery and Uber Eats 20% to 30%. See our DoorDash and Uber Eats pages.
What Menuthere doesn't do for caterers, and what to use instead
| Need | Built in? | What to do |
|---|---|---|
| A deposit now, the balance later | No. Checkout takes full payment or payment on pickup or delivery. | Send a payment link from your Stripe account for the deposit, and take the balance on the day |
| A quote for an event | No | Make one with the free catering quote maker, with a price per plate |
| Net-30 invoices for corporate accounts | No | Take card payment at checkout, or use the free catering invoice template |
| A standing weekly order | No recurring orders | The client books each week; it takes a minute from the same link |
| Tax-exempt orders (schools, nonprofits) | No. One tax rate applies to the store, labeled GST or VAT on the bill. | Handle exempt clients by invoice |
| Staff, rentals and floor plans | No | Use event-catering software for full-service events |
| Tips at checkout | No | Add a delivery or service line to your quote instead |
Write your cancellation and refund terms in each platter's description so clients agree before they pay. Read do I need a refund policy for food orders.
What it costs
| Plan | Price | For a caterer |
|---|---|---|
| Free | $0 | Your catering menu, sizes by headcount, ordering for now, a minimum order, a flat delivery fee, packaging charges. 50 orders a month. |
| Lite | $17 a month | Booking orders days ahead with windows, card payments to your Stripe, delivery by distance or zone, free delivery thresholds, discount codes, your own domain, the customer list |
| Pro | $39 a month | WhatsApp order updates from your own number, loyalty points, your own drivers with live tracking, several outlets |
For most caterers, Lite is the plan: future-date booking is the whole point. Lite starts with a 7-day free trial; you add a card to start it, and nothing is charged until it ends.

FAQs
What is a catering online ordering system?
It's a catering menu on your own website where clients choose platters by headcount, pick a date and delivery window, and pay. The order reaches your kitchen with every detail in writing.
Can clients order catering for a future date and time?
Yes, on the Lite plan. You set the notice you need, how far ahead clients can book, the days you cater and the windows they choose from.
How do I sell catering by headcount?
Use sizes named by headcount, such as Serves 10, Serves 20 and Serves 40, each with its own price. For boxed lunches, sell one item and let the client choose the quantity.
Can I set a minimum order for catering?
Yes, for delivery orders. The minimum order amount is compared with the items in the cart and doesn't apply to pickup orders.
Can I take a deposit on a catering order?
Not at checkout. Menuthere takes full payment online on the Lite plan, or payment on pickup or delivery. For a deposit, send a payment link from your Stripe account and take the balance on the day.
Can a restaurant add a catering menu without mixing it into regular orders?
Yes. Tick the catering items as pre-order only. They need a booking with your notice, and a basket that mixes them with everyday items is asked to split.
Does Menuthere take a commission on catering orders?
No. Menuthere takes 0% commission on every plan. If clients pay by card, Stripe charges its own processing fee from your Stripe account.
