Coffee shop business plan template

A coffee shop plan rests on two numbers: how many drinks you sell a day and what each cup costs to make, so the template opens with both filled in. The example is a made-up 18-seat espresso bar in US dollars that buys its pastries in: an espresso machine and grinders, a counter fit-out with plumbing, three baristas and a lead, and a forecast of 160 customers a day at a $7 average. Change every line to your own quotes, and it shows the money still to find, the monthly profit and the customers a day you need to break even, ready to download as a PDF.

Cost a recipe

How it works

  1. 1

    Read the example

A plan for a made-up business of this kind is filled in, so you can see what goes in each section. Start a blank plan when you're ready.

  2. 2

    Fill in your sections

Write about your idea, menu, site and customers. Add your staff, start-up costs and monthly costs; totals, profit and break-even add up as you type.

  3. 3

    Download the PDF

Check each page in the preview and download one tidy A4 PDF with a cover. Your plan stays saved in this browser to come back to.

What to get right in a coffee shop plan

  1. 1

Cost one cup, then the whole menu

Weigh the coffee dose, the milk and the cup and lid for each drink and size, then cost them in the recipe cost calculator. Use the average across your bestsellers as the food and drink cost in the forecast, not a figure from another shop.

  2. 2

Card fees weigh more on small tickets

A fixed fee per payment matters when the average ticket is a few dollars. On Square's standard in-person rate of 2.6% + 15¢, a $5 flat white pays 28¢, which is 5.6% of the sale. Put your processor's real rate into the card fees line.

  3. 3

Staff for the morning peak, not the average

Most coffee shops sell a large share of the day's cups in the first three hours. Write the rota around that peak, and check in the forecast whether the afternoon customers cover the hours you stay open after it.

Questions owners ask

Answered, plainly.

It depends on the site and how much fit-out it needs. In the example, the start-up costs come to $113,000, with the espresso machine and the counter fit-out the two biggest lines and three months of running money. List your own quotes in the restaurant startup cost calculator to see your total.

Your own break-even is your running costs divided by what each customer leaves after the cost of the drink. The template works it out from your rent, staff and costs: in the example it is 127 customers a day at a $7 average.

This one is drinks-led, with pastries bought in and a small counter. The café business plan template opens with a kitchen, cooks and a brunch menu, so its equipment, staff and food cost are different.

Order-ahead helps in the morning rush: regulars order on the way and collect at the bar, and the line moves faster for everyone else. A QR code at the counter and on cups can open your own ordering page.
