WhatsApp ordering for hotels: room service that starts with "room 214"
Updated October 20, 2026
WhatsApp ordering for a hotel means a guest messages your hotel's WhatsApp number, says which room they are in, and gets back a button that opens the in-room dining menu for that room, already signed in. With Menuthere, each room is set up like a restaurant table, with its own QR code and name. When a guest writes "room 214" or "can I order to room 214?", the Table order link flow finds Room 214 and replies with its menu link. The order reaches your kitchen tagged "Room 214", and the guest gets "accepted" and "ready" messages in the same chat. You pay 0% commission. Automatic WhatsApp replies from your own number are on the Pro plan (US$39 a month), and Meta charges per message on your own WhatsApp Business account.
In short
- Rooms are tables. Add rooms in bulk ("Room", starting at 101), print one QR per room, and give room service its own price if you want.
- The chat finds the room. A guest who mentions a room number or room name gets that room's menu link, signed in with their WhatsApp number. No app, no password.
- Updates land in the same chat. The guest wrote first, so the 24-hour window is open and your order updates arrive as normal chat messages.
- Only guests on the property can order to a room, if you switch on geo-lock (100 m to 1 km from your map pin).
- Not a PMS. Orders aren't posted to the guest's folio. Each order keeps its room name for the front desk.
Why room service fits WhatsApp better than a phone call
A phone order to the kitchen has three weak points: someone has to answer, someone has to write it down, and nobody can tell the guest when it's coming. A WhatsApp order removes all three, because the guest builds the order on your menu and the status comes back to their chat.
There's another reason. Many international guests already message a hotel on WhatsApp before they arrive: to ask about parking, late check-in or the Wi-Fi. Menuthere lets that same number take the order. The guest doesn't need to find a QR code or a printed menu. They can order from the bed, the pool or the taxi back from the airport.
| Phone to the kitchen | QR code in the room | WhatsApp with Menuthere | |
|---|---|---|---|
| Guest needs | The extension number | To find the QR card | Your WhatsApp number, which they may already have |
| Order written by | Your staff | The guest | The guest |
| Room on the order | Whatever staff heard | Set by the room's QR | Set by the room the guest names |
| Status updates | A call back, if anyone has time | The order page in the browser | The order page, plus messages in the chat |
| Works from outside the room | Only by calling | No, the card is in the room | Yes, if geo-lock allows the distance |
Keep the QR card too. Some guests scan, some write. Both routes open the same room menu and land in the same dashboard. See the hotel QR menu and room service page for the in-room QR side.
How "room 214" becomes a room-service order
The trigger behind this is called Table named. It is one of the message triggers in Menuthere's WhatsApp flows, and it comes with a ready-made flow called Table order link.
- The guest writes. Any message that names one of your tables, by number ("order from room 214") or by the name on it, starts the flow. The ready-made flow also listens for the words "table" and "room".
- Menuthere finds the room. It matches the number or name against your rooms. If it finds one, the reply carries a link to that room's menu. If the room isn't clear (an unknown number, or two possible matches), the guest still gets your ordinary menu link, so nobody is left without a reply.
- The guest taps Order Now. The link opens the menu already signed in with their WhatsApp number. The link works for 23 hours, and a forwarded copy doesn't sign anyone else in.
- The guest orders. They see that room's prices, add dishes, and check out. With geo-lock on, their phone must be inside the distance you set from your map pin.
- The kitchen gets it as "Room 214". The order rings on the partner app until someone accepts it, and the kitchen ticket shows the room's name.
- The chat carries the updates. Turn on the Order accepted and Order food ready flows, and the guest hears from you at each step.
If the guest orders a dessert 40 minutes later from the same room while the first order is still running and unpaid, the new items join the first order as a second round. You get one order and one bill for the room, marked Edited by customer, with the new lines tagged Added. Reprint the kitchen ticket for the new lines.
Setting up rooms as tables
| Step | Where | Hotel example |
|---|---|---|
| Add the rooms in bulk | Sales channel → QR ordering → Add tables | Number of tables 20, Name prefix "Room", Start at 101. Repeat with Start at 201 for the second floor. |
| Rename the odd ones | Edit on a table → Table name | "Pool cabana 3", "Garden suite" |
| Price room service | Dine-in pricing → Add an amount (per item) | +$3 per item on every room, nothing on the restaurant tables |
| Lobby and bar display | Edit → View only | A lobby stand QR that shows the menu but takes no orders |
| Keep orders on the property | Settings → Ordering → Checkout settings → Geo-lock table orders | 500 m for a resort spread over a large site |
| Night menu | Set Time on a dish | Club sandwich and fries from 10:00 PM to 2:00 AM only |
| Breakfast in the room | Set Time on the breakfast category's dishes | 6:30 to 10:30 AM, every day |
A few details matter in a hotel:
- The room price is per item, not per bill. Two dishes at +$3 add $6. Guests see the final price on each dish and never see the adjustment itself. Your website menu keeps its normal prices.
- A tray charge per order works better as the optional percentage service charge, which you can limit to dine-in orders. It shows as its own line, and guests can remove it. (Outside India; not on POS counter orders.)
- Geo-lock checks the phone's location, not its internet address. A guest who has left for the airport can't order to the room by mistake. It applies only to orders started from a room or table link, not to delivery or takeaway.
- Several languages. From Lite, a language button lets guests read the menu in one of 13 languages. It's machine translation, so check your key dishes. See multilingual menus.
A guest's evening, step by step
This is an illustrative evening at a 60-room hotel on Pro. The behavior is what Menuthere does; the times and dishes are examples.
| Time | What happens | Menuthere feature |
|---|---|---|
| 6:40 PM | A guest in Room 214 writes "Hi, can I get dinner to room 214?" | Table named trigger, Table order link flow |
| 6:40 PM | The reply: "Tap Order Now below to order" with a button for Room 214's menu | Signed-in order link, valid 23 hours |
| 6:46 PM | The guest orders a burger and a salad. Room prices include +$3 per item. | Per-table price adjustment |
| 6:46 PM | The order rings in the kitchen until the cook taps Accept | Ringing alerts on the partner app |
| 6:47 PM | "Order accepted" arrives in the guest's chat | Order accepted flow |
| 7:05 PM | "Your order is ready" arrives as the tray leaves the kitchen | Order food ready flow |
| 7:50 PM | The guest orders a dessert. It joins the running order for Room 214. | Second rounds |
| 8:30 AM | At checkout the front desk looks up Room 214's orders in the dashboard | Order search by table |
Two things to know about the morning. First, Menuthere doesn't post the bill to the guest's folio. If you don't take payment online, record how each order was paid (Cash or Card) when it's settled. Second, a table order is complete when you mark it so. Finish or cancel the order and the room shows as free again.
What a stay's WhatsApp messages cost
Meta charges for WhatsApp Business messages per message, by category and by the country code of the guest's phone number, not where your hotel is. Menuthere adds nothing to Meta's charges; they go on your own WhatsApp Business account.
Room service has a cost advantage: the guest writes first. That opens WhatsApp's 24-hour customer service window. Inside it, your replies and order updates go as normal chat messages, which Meta counts as service messages. Each number gets 1,000 free service messages a month, and Meta charges from the 1,001st. A message to a guest outside the window must be an approved template (utility for order updates), which Meta charges per message.
| Message | When | Meta category |
|---|---|---|
| Room menu link | Reply to the guest's "room 214" | Service (inside the window) |
| Order accepted, food ready | Within the hour | Service, while the window is open |
| An update the next day to a guest who hasn't written since | Over 24 hours after their last message | Utility template, charged per message |
| "Happy hour at the pool bar" to past guests | Any time | Marketing template, the costliest category |
Example: a guest who orders dinner once on a two-night stay sends one message and gets three back (link, accepted, ready). That's three service messages, inside the free 1,000 for most small hotels. To estimate a month, try the WhatsApp cost calculator.
Guests with US phone numbers: Meta does not deliver marketing templates to US (+1) numbers. WhatsApp can send them order updates (utility templates cost about US$0.0034 each) but not promotions; use email for offers. More in WhatsApp ordering in the USA.
What it doesn't do (read this before you switch)
- No PMS or folio link. Menuthere doesn't connect to hotel property management systems, so room service can't be charged to the room automatically. Each order keeps its room name and payment status for the front desk.
- Rooms aren't checked against bookings. The flow matches a room name; it doesn't know who is staying in it. Geo-lock and your own check at the door are your controls.
- Orders are typed by the guest, not by the bot. The chat sends the menu link; the order is built and checked out on your menu page. Nobody types "1 burger no onions" into WhatsApp for staff to copy.
- Updates reach the guest while the chat is open. If a guest ordered from the in-room QR without writing to you first, a plain order update can't reach them on WhatsApp. Add a template step to the flow, or rely on the order page they land on after ordering.
Which plan a hotel needs
| You want | Plan | Price |
|---|---|---|
| Room QR codes, room names, room prices, geo-lock and ordering | Free (50 orders a month) | US$0 |
| Unlimited orders, card payments to your own Stripe account, the language button, your own domain | Lite | US$17 a month |
| Your WhatsApp number answering "room 214", order updates in the chat, loyalty, several outlets (restaurant, bar, pool) | Pro | US$39 a month |
Lite and Pro start with a 7-day free trial; a card is needed to start, and nothing is charged until it ends. Free needs no card. See the pricing page.
Before you switch it on: a hotel checklist
- Rooms added as tables with clear names ("Room 214", not "T14").
- Room prices set per item, or a dine-in service charge, if room service costs more.
- Your map pin is exact, then geo-lock on at a distance that covers the whole property.
- Night and breakfast dishes scheduled with Set Time.
- Your WhatsApp Business number connected (Pro), and the Table order link, Order accepted and Order food ready flows switched on. Flows start switched off.
- Your WhatsApp number printed on the key-card holder or the welcome card. The free WhatsApp QR sticker maker makes a scannable one.
- A test order from a real room, on a guest's phone network, before the first busy night.

Frequently asked questions
Can hotel guests order room service on WhatsApp?
Yes. On the Pro plan, a guest messages your hotel's WhatsApp number and names their room. Menuthere's Table order link flow replies with a button that opens that room's menu, signed in. The order reaches your kitchen tagged with the room name.
How does the bot know which room the guest is in?
It matches the room number or room name in the message, such as "room 214", against the rooms you set up as tables. If it can't match one room, it sends your ordinary menu link instead.
Can someone order to a room from outside the hotel?
Not if you switch on geo-lock. The guest's phone must then be within the distance you choose, from 100 meters to 1 kilometer of your map pin, to place an order from a room link.
Can room service cost more than the restaurant menu?
Yes. Each room can add an amount to every item, such as $3. Guests see the final prices, and your restaurant and website prices don't change. You can also add an optional percentage service charge to dine-in orders.
Can room service be charged to the guest's room bill?
Not automatically. Menuthere doesn't connect to hotel property management systems. Every order keeps its room name and payment status in the dashboard, so the front desk can settle it at checkout.
What do the WhatsApp messages cost the hotel?
Meta charges per message on your own WhatsApp Business account. Replies inside the 24-hour window after a guest writes are service messages, and each number gets 1,000 free a month. Menuthere adds nothing to Meta's charges.
Do guests need to download an app?
No. The link opens your menu in the phone's browser, already signed in with the guest's WhatsApp number.
