How do caterers take bookings on WhatsApp?
Updated 30 September 2026
Caterers take bookings in a WhatsApp chat: the customer sends the date, place and headcount, you reply with a quote, and a deposit confirms the booking. Labels keep each event straight.
- Ask the same questions every time: date, time, venue, number of guests, menu and allergies. Save them as a quick reply.
- Confirm in one message: repeat the date, venue, guests, menu and total price, and ask the customer to reply “Confirmed”.
- Take a deposit to hold the date. Never ask customers to send full card or account numbers in the chat.
- Track each event with labels such as Enquiry, Quoted, Deposit paid and Confirmed. You can create up to 20.
- On the API only, a WhatsApp Flow can show a booking form inside the chat.
Take party orders for a set date
Customers choose their items and a date and time on your Menuthere page as a scheduled pre-order. Every booking lands in your dashboard and partner app, so it does not get lost in chats.
